young adults, distant couples! Wisdom Within Counseling is looking for a friendly, outgoing, highly motivated, creative, and nurturing person to be the front end receptionist.
This person will live answer during the day when the phone rings.
This person will have set online availability for new clients looking for services to book a 30 minute phone call in their calendar.
This person will use the script provided to do 30-min phone consults and ideally, make the sale of a client booking an appointment.
This person will fax doctors documentation and help with other admin tasks.
This person needs to be easy going, take direction well, trainable, prompt, and be great at communicating.

The intake coordinator will conduct initial phone evaluations, answer the phone, and respond to client care.
Intake coordinators conduct initial 30-minute pre-intake phone evaluations to determine the treatment level, therapist fit, and scheduling needed for each potential client.
The intake coordinator will also use Simple Practice electronic health record forms on this call to take and record notes, and follow the script steps for booking a client.
Intake coordinators enter private, HIPAA protected information into the digital system and help make sure all eHr portal paperwork is complete before client arrives for the first session.
Intake coordinators verify insurance for each insurance client, ideally while on the phone with the client, before the client is booked.
This may include log-ing in online to the insurance company to do a coverage check.
The intake coordinators answer all incoming calls, return missed calls that don't leave voicemails, return texts, and return voicemails and texts professionally.
This includes responding to questions and explaining the admissions process, never giving fees before talk on the phone, and explaining our unique specialities.

The intake coordinator also schedules intake appointments after getting a form of payment from the client over the phone.
The intake coordinators also help with scheduling, setting up initial evaluations, scheduling networking meetings, canceling appointments, faxing doctor's offices, ect.
The intake coordinator will perform clerical work.
Intake coordinators perform various clerical work that includes filing, copying, electronic filing of insurance cards, and faxing.

The intake coordinator will text the WWC therapist when the intake coordinator books a client in the therapist's simple practice schedule.
Excellent communication is required.
Intake coordinators have excellent verbal communication skills and active listening skills to evaluate clients and assess their care needs.
Intake coordinators will use customer service skills to answer questions and guide patients through the admissions process calmly and compassionately.
Intake coordinators will complete data entry.
Because intake coordinators enter information into digital systems and create patient files, detail-oriented data entry skills are a must-have for this role.
Computer skills are required for intake coordinators and they work with computer programs to verify insurance coverage, access and fill out digital forms, and maintain digital client files, all of which require proficient computer skills.
Time management is a required skill.
Intake coordinators use excellent time management skills to schedule appointments for patients and manage multiple clients in different stages of getting booked at once.
Once an intake coordinator picks a schedule, they may not change it independently due to online consult bookings and the WWC shared community policies.
The contractor is responsible for notifying WWC of all days off and requesting a schedule change as needed.
Contracts can not decline phone consults booked online unless checking with the owner.
The intake coordinator purchases their own supplies ie, pens, laptop, internet , use their own phone, internet, and laptop.
WWC requires all therapists to abide by HIPAA guidelines and laws and their code of ethics.
WWC has a non-solicitation policy.
Working for Wisdom Within Counseling requires the intake coordinator to be able to stay positive and go with the flow if we have questions, administrative changes, or new ways of doing things.
Intake coordinators will help with team management skills around helping follow up to ensure therapists are documenting appropriately.
The intake coordinators may be asked to call or connect with a therapist to help with leadership, cohesiveness, and management oversight.
This is a one year commitment.
The position is 5 hours a week to start and as the intake coordinator can take on more responsibility and advanced tasks, more hours will be provided weekly.
Hospitality/hotel management/customer care/sales past experience is very appealing.
